Hosts

How do I volunteer to host a Tables for Techers Dinner?

Click here to sign up to host a table for Techers in your city! You choose the day (Saturday or Sunday), time, location, and seats available around your table. We will gather all your dinner details, review, and confirm your table then prep your listing for guest registration.

Do the hosts provide the meals?

Tables for Techers is an opportunity for alumni to give back to local Techer communities. Hosts provide the meal to the guests as a form of philanthropy. Guests will be most interested in meeting each other, and they are happy with economically-minded meals, potlucks, as well as lavish spreads. Hosts may choose to open their homes and cover meals/catering or meet up at a restaurant and split the bill among guests.

Can I share responsibilities with a co-host?

Choosing a co-host is a great way to share the responsibilities and the costs. You might invite a local Techer you know to be a co-host, just be sure to register your co-host for the meal during the sign-up process so you can both be listed and recognized.

How long should my Tables for Techers last?

Your gathering may last from one to two hours (average meal time), but have a plan for how your time will be spent. Alumni Relations staff will help with some ice-breakers suggestions.

Can I give my Tables for Techers a theme or topic?

Yes! Feel free to choose a topic or theme that resonates with you. This could be career and industry related, food related, or any other interests, passions and affinities you have (Caltech Athletics, Doctor Who, Chemistry of Cooking, etc.). We know Techers love a fun theme!

When will I get information about my gathering and guest list?

Alumni Relations staff will contact you once you sign-up to confirm your details before posting to the guests registration form. Hosts will receive their final guest list at least one week prior to their dinner via the host email address provided. Hosts will be provided with all guest names, dietary restrictions, and available contact information should you choose to send a message or need to contact guests before arrival.

What if I want to host, but I have plans that weekend?

We genuinely appreciate your interest in Tables for Techers, but we understand that some Techers may be traveling or have other plans already.  The Tables for Techers tradition will continue as Caltech Alumni Relations is focused on creating the energy and excitement around the selected weekend. Because of this, Caltech Alumni Relations will be unable to organize hosts or guests outside of the July weekend.

If you are interested in creating your own event at a different date, consider hosting a local Techers Together meetup. Techers Together events are organized by local alumni, and promoted on the Alumni Relations Events Calendar. To submit an event for consideration, complete an interest form.

Guests

When can I sign up as a dinner guest?

The 2024 Guest Registration form will be made available in the coming months in the “Find a Table” tab. Availability will be based on who has volunteered to host. If there isn’t a hosted Table for Techers in your area, you might consider volunteering to organize a dinner or meet up of your own.

What if my spouse or roommate isn’t a Techer? Can I bring a guest?

Spouses, partners, friends, and roommates—they are all welcome at the Techer table, as hosts or as a plus-one for a guest as long as there is room at the table. Please register all guests and participants.

However, uninvited or unannounced guests are discouraged. All hosts will be provided an official guest list for their dinner prior to their Table for Techers dinner. Attendance will also be recorded by hosts and submitted to Alumni Relations.

As a guest will I get free food?

If you are a current student, hosts will provide your dinner (or make arrangements for it to be covered). In some cases, student guests may be invited to bring something to a potluck, but no student will be expected to pay for a meal.

For alumni guests, meals may be organized in different ways. Local hosts often will cover all meal expenses. Other dinners might be organized as potlucks or meet-ups with shared expenses. You will be notified about the type of dinner during registration and before you are asked to confirm.
